Please read through our terms and conditions, to ensure you make the most of your Hoar Cross Hall experience.
With flexible booking, this allows you to change your booking date or entitles you to a full refund if cancelled 48 hours or more before you are due to arrive. Please note this only covers treatments that are part of a experience.
You will have the option of a date change anytime before your arrival, or the price of your visit will be transferred to a Gift Voucher. Please note that if changing your date, prices vary depending on availability.
Flex booking can be added to any reservation and must be purchased at the time of reservation and can not be added after the initial reservation has been made.
If you make a change to your date, Flex will also cover you on your new booking date. This means you can change your booking date again or receive a full refund as long as we are notified 48 hours before your new booking date.
Flex booking covers the value of the reservation up to a maximum of the amount paid at the time of making the reservation. This covers any reason for cancellation such as illness, accident, home or family-related emergencies, or commitments such as jury service. Please note where a date change is being made, there may also be an increase in the price of a package purchased, as rates are subject to change. Where there is a decrease in price, the remaining balance will be placed on a voucher that can be redeemed in-house during your visit.
Please note that the Flexible Booking cost is non-refundable.
The following terms are our standard terms for all reservations. Where flexible booking cover has been purchased alternative terms apply which are detailed below.
The date of a reservation can be amended with an administration fee where notification is made 1 month or more in advance and subject to availability. The administration fee will be charged at the following: £50 per room, per night, £20 per Spa day or £10 Twilight guest.
All bookings without flexible booking are non-refundable at any time.
Where a voucher has been used to make a reservation the value of the redeemed gift voucher will be transferred to the new date of reservation. Please note date changes may also be subject to an increase in the price of the experience purchased as rates fluctuate. Where there is a decrease in price, the remaining balance will be placed against the reservation as a credit.
Reservations are non-transferable where notification of amendment is received within 1 month or arrival. Where a Gift Voucher has been used to make a reservation, the value of the Gift Voucher will be forfeited in full to the value of the reservation. Any excess value intended to be used as house credit will be returned to a Gift Voucher to be utilised by the original expiry date.
All non-arrivals for reservations will be charged in full and where a Gift Voucher has been used to make a reservation the value of the voucher of it will be forfeited.
Please note that the Flexible Booking cost is non-refundable.
Full pre-payment of the package value is required at the time of reservation in order to make a confirmed booking. Payment can be made via debit or credit card. Reservations can also be made using the value of a Gift Voucher either as part of full payment against the value of a reservation. Where a Gift Voucher is being used to make a reservation the voucher reference number is required and all vouchers to be handed to our Reception Team on arrival.

Unless explicitly stated all prices are inclusive of VAT at the prevailing rate and won’t be adjusted should this rate be amended.
No refunds either in part of full can be processed for early departure.
The minimum age of guests wishing to make use of our Hotel and Spa facilities is 16 (sixteen) years old. You must be 18+ years old to have a treatment, with the exception of manicures and pedicures in our Parlour where you must be 16+ years.
Treatments that are not included in a experience are not refundable with or without flexible booking option.
The lead booker is responsible for the entire reservation, including of group bookings made up of multiple rooms and/or guests. This includes the settling of all charges prior, during, and after visit and for the compliance of all guests with our etiquette policy further details of which can be provided on request.
We are unable to amend, cancel or refund reservations made via third parties. Please contact the party the reservation was originally made via to discuss the terms of your booking.
Should we be advised by the Government or relevant licensing authority that we are not able to operate as normal for any reason, we will make every effort to contact you ahead of your arrival and should you wish your reservation can be amended without penalty regardless of our standard cancellation terms and conditions.
In exceptional circumstances, it may be necessary to offer an alternative destination, date of visit, or specific details such as room category, or may need to cancel a reservation. In this instance, a full refund will be made regardless of date.
Promotional experiences available for new bookings only.
Advanced booking incentive is not applicable to any limited-edition experiences or offers.
No offers/ discounts/ complimentary stays can be used against our special festive experiences.
Existing bookings are unable to transfer to our Black Friday experiences. No offers, discounts or complimentary stays can be used against our Black Friday experiences.
Promotional codes, offers or discounts cannot be used in conjunction with any other promotional code, offer or discount.
In the instance that a Spa Experience is discontinued, the monetary value of the voucher will be honored or a suitable alternative will be honored, please contact our Reservations Team on 01283 576522 to book.
Please note, if your booking is made within 72 hours of arrival, you will be required to provide photo identification matching the card used at booking
All Gift Cards have a validity of 12 (twelve) months from the date of purchase.
When purchased online only Gift Vouchers can be refunded within 14 (fourteen) days of purchase without penalty. Please note where a postage and packing charge was made this amount can not be refunded. Please advise us of cancellation by emailing reservations@baronseden.com stating the date of purchase and Gift Voucher number. Emails should be sent using the same email address used to purchase the voucher.
We endeavour to process and send all Gift Vouchers orders within 48-hours of the purchase being made. Please note, that in some instances, such as Christmas and Bank Holidays, there may be a delay to the processing of orders.
Any voucher ordered with postal delivery will be sent via First Class post with Royal Mail. We can not accept responsibility for the length of delivery time or the non-delivery of orders once the goods are dispatched and delivery times are wholly reliant on Royal Mail.
Gift Cards cannot be redeemed on the day of purchase.
Gift Vouchers can not be utilised against bookings for meetings, events, functions or weddings or to purchase further Gift Cards.
The date of expiry is stated within the Gift card and we are unable to extend the expiry date of the card where this date has passed and the Gift Card is unused.
Gift Cards cannot be exchanged for cash.
Black Friday Gift cards:
Experiences are available to redeem on selected dates up until April 2025. Vouchers can be redeemed against specific limited-edition experiences at a chosen property. Subject to availability upon redemption. Following this period, vouchers will be redeemable for their monetary value at either property for the remainder 12-month period after the purchase date. Not available in conjunction with any other offer or discounts.

Afternoon Tea experiences are non-refundable.

Please be advised that if you fail to notify us of any dietary restrictions, and we are unable to accommodate them, we regret that we cannot assume responsibility for any resulting inconvenience. Your proactive communication ensures we can better cater to your needs and provide a delightful culinary experience.
No shows will incur a 100% charge & cancellations made within 24 hours will incur a 50% charge.
Please note, a £30 deposit is required on all colour appointments at time of booking. If you would like to cancel or rearrange an appointment, please give at least 48 hours notice, or the deposit will be lost.

Christmas reservations and packages that are booked online require full payment at time of booking.
For bookings of 2-night or 3-night Christmas packages made through our Reservations team, there is the option of either full payment at time of booking, or payment of a 50% deposit when you make your reservation, with the remaining balance due to be paid in full by 1st October 2024. All deposits are non-refundable and non-transferrable. Please note that in the event that the final balance is not paid by 1st October 2024, the booking would have to be cancelled.
